POSITION SUMMARY

The newly-created Communications Manager role will be responsible for developing, driving, and managing CCWA’s communications strategy.  The Communications Manager will create, package, and deploy CCWA’s messaging across all platforms and across all programs while ensuring meaningful engagement with CCWA’s key stakeholders.  Success in this role is measured by increased revenue generation over time via: a) consistent and compelling messaging, b) meaningful engagement with an ever-expanding fan base (eg, donors, clients, schools, enthusiasts, volunteers, etc), and c) increased awareness of CCWA among the general Columbus community.

PRIMARY RESPONSIBILITIES

Organization and Program Communications

Developing, managing, and implementing external communication strategies and tactics that reflect CCWA’s mission, values, brand, and priorities.
Promoting all CCWA programs, events to increase attendance, participation, sales.
Managing regular communications to Council audiences including the general public, donors, clients, parents and schools.
Develop and manage a robust social media strategy that creates a digital buzz (via Facebook, Twitter, LinkedIn, and Instagram).
Securing media coverage in print and digital venues locally and nationally.
Maintaining, updating, and writing for all assets (eg, print pieces, website).
Writing, editing, producing newsletters, feature stories, press releases, etc.
Design and execute strategy for promotional items (t-shirts, awards, gifts).
Serve as the primary liaison with CCWA’s external design firm.
Provide executive communications support including talking points, visuals, PowerPoints and a/v logistics.

Development Team Support

Assist in the development and deployment of fundraising strategies.
Support grants and proposal development and writing.
Manage fundraising event logistics.
Manage information in CCWA’s database, Network for Good.

Special Projects

Provide administrative support to CCWA’s Board of Directors including Board meeting preparation, materials, logistics.
Participate and attend various CCWA programs and events.
Manage other projects & duties as assigned by the Development Director.

What you’ll do:

  • Work closely with the Executive Director to implement an annual strategic development plan to achieve fundraising goals, thereby expanding Seeds of Caring’s mission and impact.
  • In collaboration with the Executive Director, implement strategies to cultivate and deepen relationships with individual, corporate, foundation, and major donors – Identify, cultivate, solicit, acknowledge, and steward gifts.
  • Manage prospective and active donor portfolios, utilizing moves management to advance donor relationships.
  • Engage active and prospective corporate donors through informational meetings, lunch-and-learns, and private events.
  • Oversee, plan, and execute fundraising campaigns/appeals, including Giving Tuesday, year-end campaigns, and Seeds of Caring’s signature Kindness Coalition peer-to-peer fundraising effort.
  • Manage Seeds of Caring’s donor database, including donor record maintenance, gift processing, and metric tracking
  • Work closely with the Board of Directors Development Committee to mobilize volunteers and identify meaningful ways for Board members to participate in revenue-generating activities.
  • Draft gift proposals, fundraising-oriented promotional collateral, fundraising reports, and other materials as needed
  • Work collaboratively with the Seeds of Caring program staff to deliver exceptional service events to funding partners.
  • Maintain strong messaging throughout donor communications, including acknowledgment letters, campaign communications, annual reports, and more.
  • Research and write select grant applications. Prepare select grant reports.

Stewardship Operations Manager

STEWARDSHIP OPERATIONS MANAGER

HOURS:            Regular business hours plus some weekends and evenings for various Stewardship Events

PAY RANGE:     $45,000 to $52,000 plus benefits

It has been stated that 90% of the world’s products are designed for 10% of the world’s population. Position:

Maximize Design Outreach’s fundraising revenue through the management and optimization of the Stewardship Department’s operational processes.  Manage the department’s relationships with partners to coordinate accounting, reporting, recordkeeping and other fundraising operations.  Build and maintain various fundraising tools that are essential to a successful development operation.

Candidate is a creative, driven problem solver who has a deep understanding of the importance of quality data and efficient operations.  Ideal candidate possesses good judgment; strong organizational, interpersonal, and communication (spelling, punctuation, grammar, and oral) skills; initiative; is self-motivated; detail oriented; and desires to have fun while meeting high standards for quality of work.  A general understanding of fundraising and data management; and a minimum of 2-4 years professional experience in data management, office management, or administration required. A BS/BA in business, library sciences, or related field is preferred.

Key Responsibilities:

·        Work with team members to improve Design Outreach’s Stewardship Operations. Apply industry-standard best practices to analyze and develop improvements to departmental systems and processes so they can be used by all team members to improve work performance and operational efficiency.

·        Provide oversight and direction to the Stewardship Coordinator. Delegate responsibilities that foster growth within the Coordinator role. Serve as a resource to the Coordinator to help ensure all accountabilities are met.

·        Ensure effective usage and integrity of development and communications technology systems, including CRM, online giving platform and MailChimp.

·        Implement procedures to routinely review and provide recommendations for systems that support the department; if systems are lacking or inefficient, propose and implement solutions to maximize efficiency.

·        Communicate updates of departmental tools with staff through (re)training and documentation in the Stewardship Operations and Support-Raising Procedures Manuals.

·        Establish and manage highly segmented reports and data files.  Compile, summarize, and analyze statistical and other data and develop findings, conclusions, and recommendations for personalized engagement.  Pull segmentation reports for invitations, solicitations, and communications. Develop protocols for the entry of donor attributes to allow for additional segmentation.

·        Manage all aspects of fund administration, sponsorship funds, grant agreements, grant reporting, outcomes, and all relevant data.

Data Management and Reporting:

·        Enhance revenue and expense forecasting infrastructure to uphold transparency.  Create visual forecasting reports that enhance digestible data.

·        Develop systematic reports, visualizations, and dashboards to track key performance indicators. Respond to ad hoc reporting needs of users.

·        Create and implement a development auditing plan to ensure accurate demographic and gift recording processes, procedures, and documentation to ensure data integrity and data security.

·        Accurately maintain the accounting database and manage lists for mailings and events.

·        Accurately maintain electronic mail database (Mail Chimp).

Requirements:

Essential Functions and Key Responsibilities:

Description:

This position is responsible for planning and organizing combined charitable campaigns for Public Sector organizations which currently include: State of Ohio, Franklin County, City of Columbus, and The Ohio State University (Buckeyes For Charity).

Key Responsibilities:

Annual Campaign Management

  • Direct and manage all Public Sector campaigns in accordance with their respective guidelines and policies/procedures.
  • Manage campaign timelines.
  • In partnership with Public Sector key stakeholders, set annual campaign goals and develop strategies to achieve them.
  • Lead development of, and, conduct employee campaign coordinator trainings.
  • Engage and maintain strong relationships with team members from other departments and with campaign managers and/or steering committee members at each Public Sector campaign.
  • Manage the State of Ohio CCC Steering Committee and serve as staff partner with other Public Sector campaign key contacts.
  • Train/manage Public Sector campaign liaisons who serve as key contacts for the State of Ohio CCC coordinators.
  • Complete related goal setting documents and provide timely updates regarding campaign results.
  • Work in partnership with manager to identify and execute strategies to mitigate challenges and leverage opportunities toward achieving campaign goals.

Federation Relationships

  • Serve as key contact for all participating federations in campaigns.
  • Facilitate federation engagement with Public Sector donors within contract guidelines.

Marketing & Communications

  • In partnership with Public Sector counterparts, create and execute an annual communication and marketing plan which may include the design, creation, and distribution of donor guides, posters, video endorsements, incentives and other tools designed to strengthen engagement.
  • Write content for ePledge site and promotional campaign messaging, weekly coordinator email updates, video scripts, coordinator Facebook group, and donor guides.

Campaign Pledging & Processing

  • Work in partnership with Public Sector representatives and UWCO colleagues to develop and manage campaign e-pledge sites; along with associated printed pledge forms as warranted.
  • Work in partnership with UWCO’s finance team to complete designation reports, donor acknowledgements/thank you letters.
  • Responsible for reconciling and submitting thorough and accurate pledge processing documents and additional administrative details for campaigns and assisting with team support as needed.
  • Required to follow all proper cash/check handling procedures and ensuring all envelopes are submitted to Finance for pledge processing in a timely manner.

Budget & Contract Management

  • Create, monitor and manage budgets for all Public Sector campaigns, including approval of all accounts payable within this scope of responsibility.
  • Manage and oversee State of Ohio audit review process.
  • Coordinate and manage requests to facilitate Public Sector campaigns.
  • Serve as lead in developing/executing contracts.

Team Leadership

POSITION SUMMARY:

This position will serve as an integral part of the Development team, working closely with annual fundraising efforts to coordinate all aspects of the donor database.  This role will have frequent contact with donors, volunteers, and agency personnel; and is responsible for the majority of donor database functions in close collaboration with the Director of Development.  Requires meticulous attention to detail, high level of accuracy, strong critical thinking and problem solving skills, ability to multi-task and meet deadlines, as well as a friendly demeanor to communicate effectively with donors. This position requires a professional demeanor. Work performed in this position will be of a professional and confidential nature. Work requires an understanding of office practices and an understanding of the agency. Work is performed under the supervision of the Director of Development and in cooperation with agency personnel. This position will require a significant amount of independence and self –direction.

 

PRINCIPLE RESPONSIBILITIES:

Donor Database – Maintain the donor database according to best practices and team standards/style guidelines. This includes entering donations, donor information, and reports, as well as producing accurate outputs such as mailing lists and reports. Responsible for producing appropriate correspondence with donors regarding their donations on a weekly, monthly, and annual basis.  Upholds database policies and procedures and holds the Advancement team to these procedures. Increase the optimization of the database in collaboration with the Director of Development.

Gift Entry and Donation Coding – Responsible for coding and entering all donations for the agency, in alignment with fiscal guidelines, programs, and appeals.
·         Thank You Letters – Responsible for the creation and coordination of all donation thank you letters, including those signed by the President & CEO.

·         Gifts In-Kind – Responsible for in-kind donation processing and thank you letters.

·         Reporting & Communication- Responsible for communicating with the Advancement Team about specifics of donations, pulling routine reports monthly/quarterly/annually for team metrics.

 

Annual Campaign – Work with Director of Development and team for annual fundraising campaigns, including list pulls, segmentation, and review, as well as ongoing maintenance for major donor giving societies.

 

Other Duties Assigned – Performs other departmental functions/assignments as necessary, including assisting the Development Team with events and annual appeals when needed.

 

QUALIFICATIONS:

Bachelor’s degree preferred with at least one year of database experience and general knowledge of fundraising best practices and standards; high attention to detail and accuracy; proficient knowledge of computer programs (Bloomerang and/or Raiser’s Edge preferred); ability to maximize database functionality to pull relevant and accurate information in an effective way; excellent customer service and communication skills.

Essential Functions and Key Responsibilities:
Lead team responsible for individual giving. Plan, manage, and direct leadership giving ($1,000+), coordination of the major gifts program, Women United and Leaders United. Manage United Way donor engagement experience, recommending and implementing meaningful and strategic stewardship experiences throughout the giving cycle to enhance the philanthropy journey for all donors. Key Responsibilities:

  • Maintain and develop a portfolio of Tocqueville Society ($10K+) donors and assist President and CEO, SVP RD, and other team members with similar prospect management functions. Facilitate prospect development and cultivation, solicitation, and stewardship of leadership annual and major gifts.
  • Using creative strategies, engage current Women United members and cultivate new members. Facilitate cultivation, solicitation, and stewardship of annual gifts for Women United programming.

Leadership and Major Gifts:

  • Build and direct annual renewal plans for all Tocqueville donors, along with new donor acquisition strategies.
  • Work with cross-functional staff, volunteer ambassadors and leadership team to grow Tocqueville membership and increase total dollars raised with an emphasis on discretionary dollars.
  • Partner to determine new individual donor fundraising opportunities, including participation on corporate RD teams for high engagement accounts.

Donor Experience: 

  • Drive a best-in-class strategy around all donor relations and stewardship activities including gift acceptance and management, acknowledgement, donor recognition and impact reporting.
  • With Relationship Manager, develop and monitor a stewardship process for all gifts and donors.
  • Re-evaluate stewardship program annually and recommend improvements, as necessary.

Job Title Summary:
